Providence is calling a Registrar to Providence Seaside Hospital in Seaside, OR. This is an on-call (0.0 FTE), rotating/variable shift. This position requires flexiblity as shifts could be days, evening, nights, and weekends.

We are seeking a Registrar who will be responsible for all related duties as they pertain to patient access into the Providence Seaside Health System. The Registrar is a member of a team whose purpose is to provide Providence Health System superior service in preforming multiple functions. General responsibilities are reception of patients, switchboard and paging systems, scheduling of clinic and hospital activities, registering all patients, obtaining appropriate demographics, insurance and medical information for inpatient and outpatient status, including surgery, emergency room, lab, referred lab, radiology, Providence North Coast Clinic, dermatology, physical therapy, respiratory therapy, and home health, visiting specialists.

In this position you will have the following responsibilities:

  • Interview patients in a courteous, efficient, and accurate manner to ensure correct and complete information is obtained and documented to ensure appropriate reimbursement and minimize uncompensated care expense (payment denials and delays)

  • Adapt interview process to the age and understanding of the patient/family member

  • Assess the patient's ability to complete admission process prior to going to their hospital room or receiving services

  • Alert clinical staff if the patient needs immediate attention

  • Verify patients demographic information and identifies them in the Providence Health System Master Patient Index or creates a new record in the MPI as appropriate

  • Obtain required insurance information from patients to ensure maximum reimbursement of all accounts. Identify patients with non-participating plans and resolves issues with appropriate staff and physician

  • Verify and prepare all necessary forms, documents, labels, and wristbands to ensure proper patient identification based on patient type

  • Maintain current knowledge and competency of all government and third party payors which are complex and ever-changing

  • Secure patients' valuables in accordance with PHS procedures, providing appropriate validation documentation, and stores valuables in safe as needed

  • Attempt collection of co-payments on all eligible accounts while ensuring accurate documentation of all activity in the computer system

  • Attempt collection and or deposit of all non-insured patients

  • Compliance:

  • Develop and maintain knowledge of numerous complex compliance requirements

  • Ensure that compliance guidelines are followed for all Federal, State and other regulatory agencies, which include, but are not limited to, CMS, JCAHO, EMTALA, COBRA, and HIPAA

  • Ensure compliance with Federal Medicare requirements including obtaining complete and accurate Medicare Secondary payor data, etc.

  • Obtain all required data to meet the Providence Health Systems Regional Data Set, ensuring accurate and complete Master Person Index

  • Ensure access to emergency healthcare is not compromised due to the premature collection of insurance data or copays, in compliance with the EMTALA regulations

  • Request or provide Advance Directive information while utilizing standard tracking tools

  • Disseminate Patient Rights and Responsibilities information at the time of admission to appropriate patients according to age and type of admission

  • Obtain appropriate signatures on a variety of forms such as the Conditions of Service, following Access Services Policy

  • Develop, maintain and implement numerous ever changing computer systems

  • Customer Service:

  • Communicate effectively with compassion and sensitivity, anticipating the needs of patients, families, physicians and their office staff, co-workers, supervisors and other hospital departments

  • Provide superior customer service, in person or through telephone contact, that consistently meets and exceeds the expectations of patients, visitors, physicians and PHS staff

  • Provide service recovery, when customer service standards are not met, utilizing good judgment and independent thinking, resulting in customer delight

  • Consistently work with team to manage patient flow in the department

Qualifications:

Required qualifications for this position includes:

  • High School Diploma -OR- GED

  • One (1) year experience in customer service -OR- Healthcare registration

  • Clerical and computer experience

  • Excellent public relation skills

Preferred qualifications for this position include:

  • Healthcare experience in a hospital or clinical setting, health insurance or medical office
