Providence Health & Services Clinic Assistant in Seaside, Oregon
Providence is calling a Clinic Assistant - North Coast Nursing Services (1.0 FTE, Days) to Providence Elderplace Oregon in Seaside, OR.
We are seeking for Clinic Assistant - North Coast Nursing Services who will be responsible for tracking and maintenance of referrals for routine or episodic needs of geriatric participants for lab, medical specialty, transportation requests, and physician/nurse practitioner orders and be an IS Liaison for the site and a super user resource for staff for the Electronic Health Record (EHR) and other site-specific applications.
In this position you will have the following responsibilities:
Complete lab, x-ray and specialist appointment forms, pre-op checklists, and required attachments, make special arrangements as needed, and liaison with Providence ElderPlace (PEP) transportation and specialist offices as necessary
Prepare charts for new enrollees and scan new records into the EHR
Monitor MyChart requests and route to correct person to address the issues; schedule follow-up appointments as indicated
Schedule, coordinate, and complete paperwork for all specialists providing services at PEP, including dental, optometry, podiatry, and audiology
Schedule follow-up appointments as indicated
Distribute schedule to appropriate staff, including transportation department
Assist clinicians with appointment scheduling, check in and other duties related to EHR
Maintain monthly lab board and calendars and coordinate standing lab schedule with pharmacist
Maintain overall responsibility for the medical record, including confidentiality, while keeping the medical record current by scanning in all additional records from non-EPIC sources
Request medical records from outside providers and respond to requests for ElderPlace medical records as authorized including obtaining outside treatment records that will then need to be scanned into the EHR and distributed to the appropriate clinicians
Function as the Super User resource for staff for EHR and other site-specific applications
Submit Service Requests through the IS Online Request System for hardware, software, telecom, network drive privileges, logins and passwords. This includes new employee access, changes and additions for an employee or site, and terminations
Attend and participates in training to learn new skills, keep abreast of software changes and system upgrades
Run reports for on-site staff and inquiry assistance (EHR & ProvReports)
Answer phones and triage calls for the site and clinicians
Required qualifications for this position include:
Medical terminology training -OR- equivalent education/experience
One (1) year administrative assistant -OR- secretarial work experience
