Providence Health & Services Foundation Database Specialist *Telecommute* in Portland, Oregon

Providence St. Joseph Health is calling a Foundation Database Specialist to work remotely within our footprint states: AK, CA, MT, OR, TX and/or WA.

We are seeking a Foundation Database Specialist who will supports the ten Oregon regional foundations by ensuring prompt and accurate processing of all gifts, pledges, pledge payments, matching gifts, memorial gifts, tribute gifts, stock donations, gifts-in-kind, and other contributions. The Foundation Database Specialist is also responsible for updating and correcting donor records, importing and reconciling data from complementary systems, running queries and producing reports.

In this position you will have the following responsibilities:

  • Principal Duties And Functions:

  • Receive donor gift and pledge information from Oregon Regional Foundations, exercise good judgment in the accurate coding and timely data input into the appropriate databases.

  • Process donations and pledges according to Organizational policies and procedures with 100% accuracy. Verify all pertinent information given with the gift and make necessary record changes in the database.

  • Accurately enter and maintain gift detail in Blackbaud CRM.

  • Develop queries that analyze data entry, to ensure accuracy and integrity with regard to gift entry, constituent demographic data, etc.

  • Produce gift batch entry documentation and reports to ensure daily gift entry reconciles with deposits.

  • Update databases supported by the regional data management team with appropriate donor information, including address changes, table maintenance updates, and corrections to donor giving records as appropriate.

  • Remove duplicate constituents and merge donor records as necessary.

  • Maintain physical and electronic gift documentation files, as appropriate.

  • Process matching gift forms for donors whose employers match employee gifts.

  • Provide support, as necessary, to regional foundations in accurate and prompt gift acknowledgment process.

  • Participate in the development of region and system-wide standards for data management.

  • Assist with training Foundation staff in Blackbaud CRM, to ensure understanding of database structure, coding, procedures, queries, reporting, etc.

  • Assist Foundation staff, Finance and IT with gift entry issues and implementation.

  • Ensure Foundation donor data entry Best Practices and Standards are followed.

  • Update and maintain gift processing procedures.

  • Manage time-sensitive tasks on a daily basis.

  • Provide back-up for Data Management Supervisor responsibilities as necessary, including preparing bank deposits, generating monthly accounting reports and bank reconciliations, and processing adjustments.

  • Maintain confidentiality in all information related to patients, medical staff, employees, donors, board members, trustee council members, etc.

  • Demonstrate positive interpersonal relations in dealing with fellow caregivers, supervisors and other department caregivers, so that productivity and positive caregiver relations are maximized.

  • Performs all other duties as assigned.

  • Major Challenges: Able to perform multiple tasks accurately and timely, especially during peak activities.

  • Always completes gift entry as the first priority to maintain 48-hour turn-around from date of gift receipt.

  • Able to keep current with database program changes and implement them correctly.

  • To be knowledgeable regarding all regional foundation database systems.

Qualifications:

Required qualifications for this position include:

  • 3-5 years of directly related experience.

  • Proven customer service experience and excellent verbal and written communication skills.
