We are seeking a Temporary Administrative Assistant 3 - Nursing Service Administration that will provide administrative support functions for the Providence St. Vincent Medical Center. This position requires a high level of technical skills, clerical skills, creativity, problem solving and troubleshooting, strong organizational skills, professionalism and autonomy. It requires expert knowledge of administrative practices, procedures, protocols, policies and procedures. In this position, the administrative assistant will have greater authority and responsibility, high degree of exercising independent and sound judgment, decision-making and strong interpersonal skills. Incumbents use considerable judgment and initiative to determine the approach or action to take in non-routine situations.
In this position you will have the following responsibilities:
Maintain confidentiality in all information related to patients, medical staff, employees, donors, and as appropriate, other information
Demonstrate positive interpersonal relations and team orientation in dealing with visitors to the office, fellow employees, supervisors and other PHS employees, so that productivity and positive employee relations are maximized
Demonstrate high level of tact and good judgment in responding to requests
Coordinate high-level administrative aspects of the office
Work independently and function with minimum direction and supervision
Be in extensive understanding of computer word processing, the ability to create spread sheets
Assist in organizing meetings and small special events, which includes drafting meeting notices, planning, scheduling, mailings and RSVPS
Take responsibility in preparation of materials and follow-up
Attention to detail, good judgment, discretion and confidentiality are vital
Prepare minutes for board and advisory meetings
Recruit, train and supervise volunteers to help carryout office-related projects
Prepare daily deposits and work with internal accountant on questions and requests
Required qualifications for this position includes:
Coursework/Training: Two (2) years of college or business school training -OR- equivalent education/experience
Five (5) years of work experience preferably in health care industry, including a position equal to executive or administrative support member
Experience in data entry, preparing bank deposits, data processing
Advanced computer skills and working knowledge of a variety of software programs and communication 'vehicles' including web based formats
Evidence of written and oral communication skills is required and ability to deal with highly sensitive and confidential matters
Preferred qualifications for this position include:
- Experience in public relations or customer service business
