Providence Health & Services Sales Service Specialist II in Eugene, Oregon
Providence St. Joseph Health is calling a Sales Service Specialist II based out of our location in Eugene, OR. This role will be remote in the Providence footprint or OR and WA.

We are seeking a Sales Service Specialist II to support the commercial Account Executives, Account Managers, and other Sales team members as assigned in ongoing service activities by representing Providence Health Plans (PHP) to existing and prospective clients, producers and other departments via email, telephone and in person. The Sales Service Specialist serves as an integral member of the Commercial Sales Department and as such influences policies, processes and procedures relating to Commercial Sales.
Maintain detailed knowledge of Providence Health Plan products and benefits. Maintain working knowledge of underwriting guidelines and Oregon and Washington statutes pertaining to group insurance.
Maintain flexibility in order to provide administrative support to Account Executives, Account Manager and Service Representatives.
As the first-line representative of the Sales/Group Service Department, identify potential problems and initiate quick resolution through inter- and intra-departmental channels. Maintain open communication with Account Executives, Account Managers and Service Specialists, consulting with them about issues and steps taken to resolve problems.
Balance priorities and deadlines required to meet Commercial Group contractual obligations and performance standards by prioritizing and managing time extremely well.
Understand a wide variety of computer systems and software to perform job duties. Understand the relationship between multiple systems and the Group Commercial renewal cycle.
Work with other departments to ensure success in the Group Commercial renewal cycle.
Maintain professional business relationships with all whom Sales Service Specialist interacts via email, telephone or in person.
Responsible for performance standards which are impacted by other actions.
Work in fast-paced changing environment and adapt to change quickly.
Responsible for ongoing monitoring of dashboard reports that require data entry action to keep the new and renewing cycle in process and ensure contractual obligations are met.
In this position you will have the following responsibilities:
Respond and resolve all emails and incoming calls into the Sales/Group Service Department. These activities require business professional communication with commercial group Decision Makers, Producers, and Consultants.
Manage all aspects of the renewal process for Large and Small Group book of business that includes the mock up and initial generation of custom benefit summaries.
Troubleshoot and respond to customer requests for online set up and password resets of the Providence Employer Portal, Small Group Producer Portal and Producer Portal Landing Page.
Audit Sales Department data entry reports (multiple audits each month) to monitor and coordinate with internal PHP departments to correct errors so downstream systems reflect accurate customer information, which include rates and plans sold to customer. Responsible to report any obstacles/delays to Manager in completing audits and work to a resolution in a short timeframe.
Identify and communicate necessary information to Producers and Health Plan employees, including changes in renewal processing requirements, changes within the operating system and additional information requirements. Must communicate to all impacted parties.
Collaborate in development and maintenance of all policies and procedures related to Sales Service Specialist processes. Contribute in decision making of new policies using collective staff and market feedback.
Collaborate with Sales Department Leadership to ensure process flows smoothly and consistently.
Accurately establish and maintain renewal information in main operating Sales CRM system and routing system (Webrouter). Must ensure that all systems contain the same accurate information. Responsible for accurate data entry and maintenance of all changes. In-depth knowledge of multiple subsystems and how they interact and identify dependency of other systems such as payables, billing and enrollment.
Prepare information necessary for Form 5500 schedule A tax reporting as requested by agents, groups and Sales staff.
Review new and renewal master contract applications for accurate and complete information necessary for new or renewing group set up. Facilitate completion of missing information.
Keep current on changing regulations and yearly product change requirements for Oregon & Washington. Implement changes as required by Legislation, product changes or audit requirements.

Required qualifications for this position include:
3 years experience communicating with customers.
3 years Ability to work in a detail oriented position with demonstrated ability to independently analyze data, situations and problem solve.
3 years Proven ability to organize and prioritize in order to meet internal and external required deadlines without prompting.
3 years Ability to answer peer questions with clear, concise and correct answers.
3 years Ability to adhere to Sales protocols, policies and procedures.
3 years Strong oral, written and interpersonal skills with emphasis on courteous and responsive telephone etiquette.
3 years Ability to independently compose basic business correspondence; including but not limited to offering written explanations of Providence Health Plan policies and procedures.
Preferred qualifications for this position include:
- Bachelor's Degree or 3 years’ experience in all aspects of employer sponsored medical plans. Work experience using the ability to write clear and concise email communications. Excellent written and verbal communication skills, excellent critical thinking and problem solving skills
